Privacy policy

Truckseat is an app for people who run a trade business: you talk through a job, it drafts the estimate, and it sends estimates, invoices and reminders to your clients. Truckseat is run by Vivek Verma ("we"). This policy says what we collect, why, who helps us run it, and how to get your data deleted. Questions: hello@truckseat.app.
What we collect from you
- Account: your email address, used to sign you in.
- Your business: the business name, your name, trade, town, the email clients reply to, your rates, tax and deposit settings, and your price book.
- Your jobs: clients' names, phone numbers, email and street addresses; job titles, lines, prices, notes, payments you record, and the estimates and invoices you send.
- Recordings and photos: what you record while walking a job (audio and its transcript) and the before and after photos you add. Photos are resized on your phone and stripped of location data before upload.
- The waitlist: if you join it on our website, your name, email, trade and where you work, to invite you to the beta and ask how you handle estimates today. Ask us and we'll take you off.
- The assistant: what you say or type to it, what it replied, and a record of each run (inputs, outputs, timing) so we can find and fix mistakes.
What we collect about your clients
When you send an estimate or invoice, your client gets an email and a private link. We record when the link is opened, the name typed when an estimate is approved, and which emails and reminders went out. The client page sets no cookies and runs no analytics or ads.
For your clients' details, you decide what goes in and why; we hold and process it for you to provide the service. If a client asks you to remove their details, delete them in the app or write to us.
How we use it
- To run the app: sign you in, keep your phone and our servers in sync, draft estimates from your recordings and price book, send emails and reminders, and show your clients their documents.
- To keep it working and safe: fix errors, prevent abuse, and improve how drafts come out.
- To contact you about your account or the service. No marketing email without your agreement.
We do not sell your data, share it for advertising, or use it to train AI models.
Who helps us run it

They process data only to provide their part of the service. Data may be processed outside your country, including in the EU and the United States.
How long we keep it
Until you delete it or delete your account. Deleting your account (Settings, then Delete account) removes your business, clients, jobs, recordings, photos, documents and sign-in straight away; copies in our providers' backups expire within 30 days. Links you sent stop working.
Your choices and rights
You can see and change your data in the app at any time, and delete your account from Settings. You can also write to hello@truckseat.app to ask for a copy of your data, a correction, or deletion; we answer within 30 days. Depending on where you live you may have further rights under local law, such as the right to complain to a data protection authority.
Security
Data travels over encrypted connections. Sign-in uses one-time email codes, not passwords. Client links are long random tokens that can't be guessed. No system is perfectly secure; if something goes wrong that affects your data, we will tell you.
Children
Truckseat is a tool for businesses and is not meant for anyone under 18.
Changes
If we change this policy in a way that matters, we will tell you in the app or by email before it takes effect.
